Original, practical guides written by the RK Taxperts team — on moving to Zoho, keeping clean books, staying compliant, and building finance systems that scale. General information only, not personalised advice.
A step-by-step migration plan — clean your data first, choose the right cut-over date, and reconcile before you go live.
Messy opening balances follow you for years. Here is how to diagnose duplicates, stale items and out-of-balance accounts — and fix them properly.
A repeatable month-end routine — bank feeds, receipts, payroll, sales tax and a review pack your accountant will actually thank you for.
Mixed personal spending, missing accruals, unrecorded owner draws — small habits that make your margins look better, or worse, than they really are.
Corporate and personal tax work better on a calendar than in a panic. How to spread instalments, records and decisions across the whole year.
Remittances, filings and annual returns all run on different clocks. One shared compliance calendar keeps every deadline visible — and owned.
Automate the boring, repetitive 80% first — payment approvals, recurring invoices, reminders and monthly reports — and keep humans on the exceptions.
New software, a restructure, an acquisition — change is where finance breaks first. Structured project support keeps filings, payroll and reporting moving.

Moving your whole business onto one platform is exciting — and risky, if your accounting history arrives incomplete. Most migration problems are not software problems. They are data problems that were carried across, unexamined. This guide sets out the order we recommend, in plain language.
Export your chart of accounts, customer and vendor lists, and item lists from your current system. Merge duplicate customers, close accounts you no longer use, and agree one naming convention. Every duplicate you delete before migration is an hour you will not spend untangling reports later.
Move master data first (accounts, contacts, items, tax rates), then opening balances, then open transactions — unpaid invoices, bills and orders. Closed historical transactions can usually be summarised by period rather than re-entered line by line, which keeps the new system fast and affordable.
Before anyone relies on the new system, prove it: trial balance, bank balances, receivables and payables must agree to the old system, to the dollar. Then run one full month in parallel. Only switch off the old workflow when the parallel month closes cleanly.
Done in this order, migration becomes a controlled project instead of a leap of faith — and your first year-end on the new system is unremarkable, which is exactly what you want.
If your reports never quite agree with your bank, the problem usually started on day one: the opening balances. A cleanup is not about blame — it is about establishing one set of numbers everyone can trust.
Start from evidence, not opinions: bank statements, the last filed tax return, and the last set of financial statements your accountant signed off. Rebuild the opening position from those documents, correct it with clearly labelled journal entries — never by quietly editing old transactions — and then reconcile forward month by month. Duplicates are voided or merged with a note explaining why, so anyone reviewing later can follow the trail.
Close each month once it is reconciled, restrict who can post into prior periods, and review the suspense account monthly until it stays at zero. Clean books are not a one-time event; they are a habit with a lock on the door.
Businesses that close monthly make better decisions than businesses that reconstruct a year every March. The secret is not working harder — it is working in the same order, every month.
A short pack beats a long one: profit & loss against last month and last year, a balance sheet, aged receivables and payables, and three lines of commentary — what changed, why, and what needs a decision. If a number surprises you in the pack, that is the system working.
Sticking to this rhythm also transforms year-end: instead of a reconstruction project, it becomes a review of twelve closes you have already done.
None of these mistakes looks dramatic on its own. Together, they can make a struggling business look healthy — or a healthy one look like it is failing.
Run three checks monthly: does the bank reconcile, does the sales-tax account make sense against sales, and does gross margin sit in its normal range? If any answer is no, investigate before closing. Most distortions announce themselves early — you just have to be looking at the right three numbers.
Tax season stress is usually a record-keeping problem from eleven months earlier. Spreading the work across the year makes filing faster, cheaper and far less dramatic. This article is general information only — deadlines and rules depend on your situation, so confirm yours with your accountant.
One folder — physical or digital — where every notice, slip and receipt lands during the year removes the annual scavenger hunt. Businesses that do only this one thing consistently describe filing season as "uneventful," which is the best outcome tax can offer.
Every compliance obligation runs on its own clock: payroll remittances follow your pay cycle, GST/HST follows your reporting period, corporate tax follows your fiscal year-end, and annual returns follow your incorporation date. Miss one clock and the penalties start quietly.
Calendar reminders and workflow tools are excellent at saying "this is due." They are not a substitute for reviewing the numbers before filing. The strongest compliance systems pair automatic reminders with one human review — which is exactly the combination a good calendar makes easy.
Automation projects fail when they start with the hardest process in the business. They succeed when they start with the most repetitive one, prove the value, and expand.
Set approval limits so large items always reach a human. Keep exception queues — failed payments, unmatched transactions, overdue approvals — reviewed weekly. And document every workflow in one page, so the system survives staff changes. Automation should remove typing, never remove oversight.
A system change, restructure or acquisition lands on the finance team twice: they must run business as usual and build the new world at the same time. That double load is where deadlines get missed — not from lack of skill, but from lack of hours.
During change, protect the non-negotiables first — payroll, remittances and filings — and let cosmetic improvements wait. A project that goes live two weeks later but never missed a remittance is a success; the reverse is not. Planning the finance workstream with the same rigour as the technology workstream is what makes that outcome likely.
